Agents and memory

Shared memory

How agents propose facts, how admins approve them, and how every agent uses what is known.

The shared memory holds facts people have confirmed. Every agent uses them in every chat. Open it from Memory on any agent’s page, from What the Brain Knows in the Your Team list on a phone, or at /memory.

  1. During a chat, an agent can propose a fact with its memory tool.
  2. The proposal waits for approval. An agent can have at most 5 pending proposals per chat. Once one is approved or dismissed, that slot is free again. The same fact is never added twice.
  3. An admin approves it, edits it or dismisses it.

Once approved, a fact is known. Known facts reach the prompt of every agent, grouped by topic. The prompt holds at most 80 facts and 6,000 characters.

  • Members see known facts only. The page says “Facts people confirmed. Every agent uses them.” An empty memory reads “Facts appear here once an admin approves them.”
  • Admins also see a section called Waiting for approval. Each proposal shows who proposed it. Admins can Approve, Edit or Dismiss a proposal, and Edit or Forget a known fact. The page asks “Forget this? Agents stop using it.”
  • Admins can add a fact directly with the box “Add something every agent should know”, with an optional topic. Without a topic, the fact is filed under General.
  • Where a fact came from (the chat’s title) is admin-only.

Use the search box on the page, “Search what the brain knows”, to find a fact.

Any signed-in person’s chat can lead to a proposal, including a chat opened from an outside AI tool through the connector. The limit per chat and the admin’s approval are what keep the memory trustworthy.
