Credits and billing

For owners: plans, credits and when they expire, top-ups, seats, upgrades and downgrades, failed payments and cancelling.

This page is for the owner. When payments are switched on for your deployment, only the owner sees Settings → Billing, and only the owner pays. Admins and members never see it.

The top of Settings → Billing shows your Next payment: how much, on which day, and what makes it up (your plan and any extra seats, before tax). Below it, What you pay lists your plan, your extra seats and what a month comes to, What you have shows your credits, and Seats shows how many seats are in use. Manage Billing opens Stripe’s billing page, for your card, invoices, downgrades and cancelling.

A new business chooses a plan right after it names itself: the brain shows Choose a plan with a card per plan. Each card shows the price a month, the credits a month and the seats included. Select Choose on a plan and you go to Stripe to pay. When Stripe sends you back, the brain says Confirming your payment… until the payment is confirmed, then builds your workspace. If it can’t confirm the payment within about 40 seconds, it says so and you can go back. If you were charged, contact us and we’ll sort it out.

A plan may come with a free trial. Its card then says how long the trial lasts and how many credits you get during it, and its button reads Try the plan Free. Starting a trial still takes you to Stripe, and a card is needed, but nothing is charged until the trial ends. The trial’s credits are yours until it ends.

When the trial ends, the card is charged the plan’s price and the plan’s monthly credits arrive, just as at a renewal. Credits left over from the trial don’t carry over. During the trial, Settings → Billing shows your First payment and the day it is taken. Upgrading waits until the trial is over. To stop before you’re charged, cancel on Stripe’s billing page through Manage Billing. Everything keeps working until the trial ends, and nothing is charged. A business gets one trial, when it signs up: choosing a plan again later starts it straight away.

A business has one plan at a time. If a second plan gets paid for, say from two browser tabs, the brain keeps the first, cancels the second at once and says it couldn’t confirm that payment. Contact us and we’ll refund it.

Credits pay for the assistant’s answers. One credit is one US dollar of what the model provider charges, shown plainly in the chat as credits left.

Each month’s plan credits arrive when the plan renews. Unused plan credits carry over for one more month, then expire. Credits you bought as a top-up, or that were added for you, never expire.

Under What you have, Settings → Billing shows how many credits you have left and breaks them down: plan credits carried over from last month, this month’s plan credits, credits you bought and credits added for you. Each line says when those credits expire and how big a share of your balance they are. The credits that expire soonest are used first, and the page says when your next plan credits arrive.

When credits run out the chat stops and tells you. As the owner you get an Open billing link beside that message. While payments are switched off for your deployment there is nothing to buy in the app, so the message says Contact us to add more (or, if you have no plan yet, Contact us to set one up) and there is no link. Schedules, triggers and questions asked from Slack follow the same rule: while your organization has no plan or too few credits, a schedule or trigger run is skipped with that reason and the Slack bot says it can’t answer.

Select Buy Credits, pick a pack, then select the button that names it and its price, such as “Buy 25 Credits for $25”. You pay on Stripe and the credits are added when the payment is confirmed. After a top-up or other purchase, Settings → Billing opens with Payment confirmed. once. Top-ups need an active plan paid through Stripe, so a complimentary plan shows no packs.

Your plan includes some seats. Under Seats, Settings → Billing shows how many are in use, for example “4 of 6 seats in use”, and what makes up the number: the seats in your plan and any extra seats. An invitation that is waiting for someone to join also holds a seat.

To change your extra seats, select Change beside Extra seats under What you pay and set the number you want. Before anything is charged, the page says what the change costs: adding seats charges for the rest of this month straight away, and you see what you’ll pay each month from your next renewal. Removed seats go straight away and your bill goes down from the next invoice. Select the button that adds or removes them to confirm, or Cancel. You can’t go below the number of people already in your business.

When every seat is taken, inviting someone fails with a message telling you to add a seat.

To move to a bigger plan, select Change beside your plan under What you pay and pick the bigger plan. The plans are listed side by side with their price, credits and seats. The brain tells you what happens first: you’re charged the difference for the rest of this month now and get the extra credits straight away. The extra credits match the charge: the difference between the two plans’ monthly credits, in proportion to what is left of the month, so upgrading halfway through the month adds half the difference. It says “about” that many credits, because the final figure is worked out when Stripe charges you. Select Upgrade to the plan to go ahead, and Settings → Billing then shows the exact number: Upgraded to the plan, with how many credits were added. An upgrade made on Stripe’s billing page adds its credits the same way.

Downgrades happen on Stripe’s billing page and take effect at renewal. Pick the smaller plan and select Manage Billing to open it.

If a renewal doesn’t go through, a banner appears for the owner at the top of the page, in its own row, so it never covers anything: Update your card by the date shown to keep chatting. You have three days. Select Manage Billing to update your card on Stripe. A successful payment clears the banner. If the three days pass without a payment, the plan is cancelled, the banner goes and the chat stops until you choose a plan again.

Cancel on Stripe’s billing page, through Manage Billing. The plan ends at the end of the period you’ve paid for, and Settings → Billing shows Your plan ends with that date. Until then everything keeps working.

Who used credits since the start of the billing period lists each person and the credits their chats used, with a bar for each and the total, so you can see where the credits go. Someone who has left stays on the list for the period.
